Job Description
Reports To: Senior Director, Program & Services

We are seeking a highly skilled and detail-oriented professional with 5–7 years of experience in program coordination, client/account support, implementation support, and high-touch client services to join our dynamic team. The ideal candidate will play a pivotal role in coordinating and optimizing healthcare programs, ensuring seamless client experiences, and driving operational excellence.
This role is well-suited to someone with a background in healthcare business or administration who thrives in a collaborative, mission-driven environment and is committed to delivering exceptional service and results. Experience supporting structured workplans, timelines, and cross-functional coordination is beneficial, but the core need is a strong operator who can manage details, stakeholders, and deliverables with consistency and care.
Requirements:
- Bachelor’s degree in Business Administration, Healthcare Administration, Healthcare Business, or a related field is required.
- 5–7 years in administrative, program coordination, operations, implementation support, or client service roles—ideally in a healthcare, wellness, or high-touch environment.
- Experience supporting client onboarding, implementation processes, and/or account management.
- Strong understanding of data tracking/reporting, and comfort working with EMR systems and CRM tools.
- Familiarity with precision medicine, genetics, health programs, or data collection/analysis is an asset.
- Exceptional interpersonal, communication, and relationship management skills (verbal, written, and virtual).
- High attention to detail and accuracy in documentation, data entry, and reporting.
- Strong organizational and multitasking skills, with the ability to prioritize and manage multiple deadlines professionally.
- Comfort using coordination tools and systems (e.g., scheduling platforms, shared trackers, and tools such as Asana/Trello or similar).
- Strong analytical and problem-solving skills, with experience supporting workflow optimization, process improvement, and data-informed decision-making.
- Understanding of implementation best practices, outcome measurement, and supporting program delivery across multiple stakeholders.

Job Responsibilities:
1. New Clinical Program (Client Experience & Operations)
- Serve as the primary administrative contact for New Clinical program clients and support day-to-day program coordination.
- Oversee the client intake process, including scheduling initial assessments, onboarding, and managing ongoing communication.
- Coordinate appointments and communications among clients, clinicians, and the care team to ensure smooth operations.
- Input and maintain accurate client data within the EMR system while ensuring compliance and confidentiality.
- Provide exceptional customer service by responding promptly to inquiries, troubleshooting issues, and ensuring clients feel supported and valued.
- Track program milestones, follow-ups, and client progress documentation to ensure timelines and service standards are met.
- Support quality assurance initiatives by conducting data checks, contributing to performance reporting, and flagging risks or gaps.
- Partner with leadership to identify process improvements and help implement workflow enhancements to increase efficiency and client satisfaction.
2. Genetically Informed Care Program Support (Program & Vendor Coordination)
- Collaborate with the Programs & Services team to coordinate communications, logistics, and implementation support for GIC initiatives, including pharmacogenomics, nutrigenomics, cancer, and cardiac testing.
- Manage vendor coordination, including ordering tests, tracking shipments, and supporting timely results delivery.
- Act as a key liaison between clients, clinicians, corporate partners, and vendors to support smooth operations and service delivery.
- Maintain accurate records of test orders, results, and communications in the EMR and program databases.
- Ensure clinicians have the necessary tools and information for timely test ordering, follow-up, and client support.
