Job Description
Our East Vancouver integrative clinic and movement studio is a welcoming, inclusive space rooted in care, community, and connection. We’re looking for a Front Desk Manager who thrives in a fast-paced environment, loves working with people, and takes pride in keeping things running smoothly behind the scenes.
This role is the heartbeat of our clinic. You’ll be the first point of contact for clients and a key support for our practitioners—balancing warmth, organization, and efficiency every day. If you enjoy variety, problem-solving, and meaningful work, this job is never boring.
About the Role
As Front Desk Manager, you’ll oversee daily front desk operations while providing exceptional, compassionate service to our clients. You’ll juggle multiple priorities, communicate with care, and help create a calm, supportive experience for everyone who enters our space.
Key Responsibilities
- Welcome clients with warmth, professionalism, and discretion
- Manage scheduling, bookings, and client inquiries (in-person, phone, and email)
- Coordinate the front desk team’s hiring, training, and scheduling
- Support daily clinic flow
- Handle billing, invoicing, and payments, along with accounts receivable reconciliation
- Maintain accurate client records and administrative systems
- Support clinic operations in a high-volume, fast-moving environment
- Work collaboratively with our management team and the clinic owner
- Troubleshoot issues calmly and proactively
- Help foster a safe, inclusive, and peaceful clinic atmosphere
What We’re Looking For
- Ability to work full-time
- Previous experience in a medical, counselling, or integrative health clinic
- Highly organized with strong attention to detail. You are a great multi-tasker
- Comfortable working in a high-paced environment with competing priorities. If you thrive in busyness, this is a great place for you.
- Excellent customer service and communication skills
- Calm, friendly, and professional presence
- Strong problem-solving abilities and adaptability
Bonus (But Not Required)
- Familiarity with Jane App
- Familiarity with Slack and/or Asana
- Experience using QuickBooks
- Background in healthcare administration or clinic management
