We have a great opportunity in our Transit Control Department. We are looking for a Contracts Reporting & Systems Administrator to join our team

What You Will Do

Reporting to the Manager, Closures and Diversions, you will be responsible for the activities associated with the preparation, administration and cost monitoring of all third party service contracts. This includes preparing the terms of reference for all contracts and tenders as well as verifying and processing all related invoices.
You will also be responsible for the analytical/performance measures reporting, as well as analysis and systems administration. This includes creating, running and analyzing reports for the purpose of measuring and monitoring performance related to various activities or for use by other departments. This position is responsible for activities associated with the maintenance and usage of systems and software applications, including identifying system enhancements and reporting tools. Responsible for testing new functionality and initiatives, troubleshooting systems, coordinating systems maintenance and monitoring reports to ensure the integrity of data and databases.
In addition to the above, you will also act as the Site Champion for SharePoint and other systems, as well as the primary system tester which involves developing test cases for system upgrades, entering test data, and analyzing results. You will also order and process resources from various external vendors related to Closures and Diversions business needs, including but not limited to Customer Service Representatives, traffic control equipment, Toronto Police and towing services.
You will be required to participate in the TTC Customer Service Ambassador Program.

What Qualifications Do You Bring?

  • Your educational background includes the completion of a post-secondary college diploma or university degree in a related discipline or a combination of education, training and experience deemed to be equivalent.
  • Strong working knowledge and demonstrated proficiency of computers and software applications related to the work (i.e. Word, Excel), including the ability to manipulate computer databases;
  • Well-developed analytical, problem solving, organizational and interpersonal skills;
  • Strong written and oral communication skills are required to train staff and communicate with others regarding troubleshooting issues and preparing reports and manuals;
  • Experience with interpreting and analyzing data and financial records and reports, locate errors, recommend solutions and prepare reports;
  • Must be detailed-oriented, produce quality work, meet required deadlines and work with minimal supervision; and be a self-starter with the ability to work independently or as a team member in a fast-paced and high volume environment with multiple deadlines;
  • Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees;
  • Must have or quickly acquire knowledge of departmental and TTC policies and procedures, organizational structure, budgeting process, etc. applicable to the work performed;
  • Familiarity with the contract administration process would be an asset;
  • Familiarity with the invoicing and budget process would be an asset;
  • Knowledge of internal systems i.e. DMS, Microsoft Forms and the Construction Events & Coordination System (CECS) is a definite asset.
  • May be required to backfill for the Administrative Assistant of Transit Control during periods of absence
